Preboarding

Step 1. The candidate has accepted the job offer
Responsible: Head of division
This email template can also be used in a direct recruitment but you only need to send the information to operational support and unit manager, not to the candidate.


Head of division confirms to the new employee that we have received their acceptance of offer and will now start preparing for arrival.
Head of division sends email according to email template to;
Candidate
Unit manager
Supervisor
Divison administrator 
HR
Financial officer

Step 2. Only for international employees - process for residence permit/work permit/study permit
Responsible: Head of division/PhD admin for PhD students

International employees will be handled by Head of division.
Hosting agreement for Chalmers or GU needs to be filled out and sent to the new employee.

International PhD students will be handled by PhD admin.

 

Step 3. Information to the new employee and preparations for arrival
Responsible: HR and Head of division, who can delegate to Head of unit

HR will send a welcome email to the new employee.

Head of divison, or Head of unit if delegated, start preparing for arrival and use the checklist to make sure everything is in place before start date.

 

Step 4. Information to the new employee regarding the introduction
Responsible: Head of division, who can delegate responsibility to Head of unit

Head of division, or Head of unit if delegated, send an email to the new employee with information regarding their first day and a schedule for the first week.

Step 5. Candidate arrive at campus for the first day
Responsible:
Head of unit

Head of unit introduce the new employee to the work place and routines. Use the checklist for guidance.

 

Step 6. Follow up meeting
Responsible: Head of unit

Head of unit invite the new employee to a follow up meeting within the first three - six months.
